How Outlook Sync Works
Print Friendly VersionGo Web Sync is an on-demand synchronization tool. After installing it, a toolbar will be added to your copy of Microsoft Outlook that will allow you to easily synchronize with your Webmail whenever you need.
The Sync Tool connects securely to your Webmail on the Internet, then synchronizes the information with in your Webmail account with your local Outlook on your desktop/laptop. In most cases, this process is completely automatic. If a conflict occurs (for example, if an item was edited in your Webmail and in Outlook since the last sync), you will be asked how to handle the conflict.

Sync Requirements
Print Friendly VersionThe requirements of the Sync Tool are minimal, so that it can coexist with other applications on the same computer. Please note there are now two versions of Sync Tool for Microsoft Outlook. One version is for Outlook 2000 only, and the other is for Outlook 2007, XP, and 2003 users.
- Windows 2000, Windows XP, Windows 2003, or Windows Vista (all versions)
- Microsoft Outlook 2007, XP, 2003 and 2000
- Microsoft .Net Framework 2.0 (available from Windows Update)
- RAM: 256mb
- CPU: PIII 500
- DISK: 30 Megabytes
In general, the Outlook connector of SmarterMail Sync will add about 10 MB of memory usage to what Outlook uses on your computer without SmarterMail Sync.

Configure Outlook for Sync
Print Friendly VersionBefore you can synchronize your Webmail email account with Outlook using the Sync Tool, you must first set them up in the Sync Tool. This will provide the tool with the information it needs to connect to your Webmail account(s) online.
To manage your accounts, after installing the Sync Tool, click on the SmarterMail Sync toolbar item in Outlook (after you have installed the Sync Tool), and choose Account Settings from the menu.
Accounts need the following information:
- Name - Enter a friendly name to identify this account, such as your first and last name.
- SmarterMail URL - Type the full URL of your SmarterMail webmail interface into this dialog. For example, http://gowebsecuremail.com
- Email Address - Enter your full email address.
- Password - Type the password for your SmarterMail account.
- Synchronization - Check the boxes for the items you wish to synchronize. If you wish to sync to a non-default calendar, task list, or contact list, click on the "..." button next to it.
You can use the Test button to ensure that the connection works, and use the Next button to store the information.

Synchronizing Accounts

To begin synchronizing an account, click on the Synchronize button in the toolbar and choose the account name you want to synchronize. The accounts that show up in the drop down list are the same ones you add through the Account Settings dialog.
The synchronization process will begin, and a dialog will appear showing you the progress of the operation. Once the process is completed, the dialog will disappear, similar to how Outlook operates during Send/Receive.

Resolving Sync Conflicts
Print Friendly VersionIn the course of synchronizing accounts, conflicts may occur. For example, if you update a contact in Outlook and in SmarterMail, the changes may conflict with one another. In that case, a dialog will appear asking you to resolve the conflict.
In the conflict dialog, choose whether you wish to keep the SmarterMail item, or the Outlook item by checking the corresponding radio button. In some cases, a dropdown may appear next to the Outlook item if there are multiple matches in Outlook.
Data in this dialog is color coded to help you identify information more easily. Definitions of what the color coding means appears in the table below:

If you wish to ignore the conflict, click on the Skip button. However, if you choose to ignore a conflict, you will be prompted about the contact later.
If this is a new contact, and doesn't match one of your existing contacts in Outlook, click on the New button.

What is the Sync Tool?
Print Friendly VersionThe Sync Tool is a utility that allows you to quickly and easily synchronize information from your desktop email client (Outlook, Thunderbird, etc) or your supported mobile phone with your Webmail on the internet. Using this utility, you can synchronize:
- Contacts
- Appointments
- Tasks
- Notes
Currently, the Sync Tool runs on Outlook 2003, Outlook XP, and Outlook 2007, Thunderbird, the iPhne and Smartphones.

Getting Started

Install the product
Run the installation file to install SmarterMail Sync on your desktop. SmarterMail Sync will automatically integrate itself into Microsoft Outlook. The latest versions of SmarterMail Sync is available from www.smartertools.com
Add an account to synchronize
From within Microsoft Outlook, click on the SmarterMail Sync toolbar item and choose Account Setup. Add all necessary information about the account you want to synchronize with. (more info)
Synchronize the accounts
After setting up the account(s), click on the synchronize toolbar item and choose the account you wish to synchronize with. If conflicts arise, please refer to the online help to learn how to resolve them. (more info)

iPhone and iPhone 3g synchronization

Over-the-Air synchronization of contacts (calendars and tasks coming soon) can be accomplished by using a free iPhone Plug-in. It must be downloaded from your iPhone using the App Store.
Step 1: Click the App Store icon on your iPhone.
Step 2: In the App Store, search for "Funambol" The icon looks like this:

Step 3: Install the Funambol application.
Step 4: After the Plug-In is installed, click on it in your iPhone. Click Settings > Account. Enter the following settings:
Server: http://gowebsync.com/sync/default.aspx
Username: youremailaddress@domain.com
Password: type in your email password

Step 5: Click the Settings icon at the top to save and leave the account settings area. Click Funambol to go the the Plug-in's home page.
Step 6: Click the large icon in the middle of your screen that says "Sync Contacts".
You're done!
Note: The original iPhone running firmware version 1.x requires that you have decided to “jailbreak” your iPhone, allowing applications to be installed on the iPhone. iPhone devices running firmware 2.0 or higher can download the Funambol plug-in directly from the Apple iTunes App Store at no charge.
For syncing email messages, you should setup an account within the iPhone mail application using either IMAP or POP3. IMAP is a newer protocol and keeps all messages and folders on Go Web's servers. By using IMAP, you are able to log into your webmail interface from anywhere and have access to the same messages and folders, as well as accessing them with a desktop application like Microsoft Outlook.

Mozilla Thunderbird 2 synchronization
Print Friendly VersionSynchronization of contacts and calendars with Mozilla Thunderbird 2 can be accomplished by using the Funambol plug-in and the Lightning plug-in for Thunderbird 2, free downloads from https://addons.mozilla.org/en-US/thunderbird. The Funambol plug-in uses the SyncML 1.2 protocol, which is fully supported by Go Web’s synchronization servers.
After installing the plug-ins, users will need to configure the Funambol plug-in from within the Thunderbird interface. To configure the plug-in, click Tools on the menu bar. Then click Funambol Plug-in and click Options. Enter your server location in the server URL field (using the format http://gowebsync.com/sync/default.axpx); enter your username (using the format username@domainname.com); and enter your password. Now click on the Synchronize tab and select the items you want synchronized (contacts and/or calendar). To synchronize the calendar, you will need to click on the Details button and change the remote name to scal. Click OK and Click to Synchronize.

BlackBerry synchronization
Print Friendly VersionOver-the air synchronization of contacts, calendars, tasks, and notes can be accomplished by the BlackBerry PIM Sync Plug-in, a free download from www.funambol.com (open source solution provider). The provider supports most Blackberry devices, and Go Web has tested models 8830, 8810, and Curve devices. The client provided by Funambol uses the SyncML 1.2 protocol, which is fully supported by Go Web’s synchronization servers.
Within your webmail interface, click the Settings button on the main toolbar and select SyncML in the My Settings Folder from the left tree view to see what clients have connected to your mailbox and attempted synching. Logging of information, last successful synchronization, decision rules and the ability to reset synchronization of devices is available from this area. For regular and push email usage, Go Web offers the following methods:
1) The Blackberry Internet Service is a free method to push email to your Blackberry and is a service provided by your mobile phone provider (Sprint, Verizon, etc.) and can be configured to check your mailbox and push all new and unread messages to your mobile phone. Messages are normally pushed to the Blackberry device with a 5 to 10 minute delay. This BlackBerry Internet Service will connect to your mailbox via the IMAP protocol.
2) An alternative free method to push messages to your mobile phone which is normally only delayed a couple minutes and simulates the expensive Blackberry Enterprise Server (BES) which is often associated to Microsoft Exchange is to use the open source provider Funambol (www.funambol.com). By signing up with the free Funambol service, you can (just as with the Blackberry Internet Service), configure Funambol to scan your webmail mailbox for new and unread messages. If a new message is found, the Funambol service will push the message to the Blackberry device and the Funambol client program. When you sign up for the Funambol service, they will provide you the appropriate client that should be installed on your Blackberry device. This method provides a significant cost savings over the formal BES method with only a modest diminishment in performance.
3) Since the Blackberry is focused on pushing email, many consumers who are familiar with IMAP and PocketPCs miss the advantage of having access to all their messages that they see within Outlook or the Web mail interface. For people who would like to log into their mailbox from the Blackberry and see all of their messages as if they were in Web mail, additional clients can be installed on the Blackberry, such as the free and open source application LogicMail (http://www.logicprobe.org/proj/logicmail).

PocketPC synchronization
Print Friendly VersionFor those users who choose not to use the SmarterMail Sync tools, an alternate solution is available for contacts, calendars, and tasks using the SmarterMail Enterprise Edition 5.5 or higher utilizing the PocketPC or Smartphone plug-in from www.funambol.com (open source solution provider). The client provided by Funambol uses the SyncML 1.2 protocol, which is included within the Enterprise edition of SmarterMail 5.5 or higher. Within the SmarterMail interface, click the Settings button on the main toolbar and select SyncML in the My Settings folder from the left tree view to see what clients have connected to your mailbox and attempted synching. Logging of information, last successful synchronization, decision rules, and the ability to reset synchronization of devices is available from this area.
For messages, users should setup an account within the Pocket Outlook application provided on the mobile device using either IMAP or POP3. IMAP is a newer protocol and keeps all messages and folders on the server. By using IMAP, you are able to log into the SmarterMail Web interface from anywhere and have access to the same messages and folders, as well as accessing them with a desktop application like Microsoft Outlook. Microsoft Outlook 2003, 2007 and above
Print Friendly VersionFor those users who choose not to use the plugin offered that installes to Outlook, an alternate solution is available for contacts, calendars, tasks, and notes by using the Outlook plug-in from www.funambol.com (an open source solution provider). The client provided by Funambol uses the SyncML 1.2 protocol. Once signed in to your webmail, click the Settings button on the main toolbar and select SyncML in the My Settings folder from the left tree view to see what clients have connected to your mailbox and attempted synching. Logging of information, last successful synchronization, decision rules, and the ability to reset synchronization of devices is available from this area.
In addition to the synchronization, users can attach calendars and contacts to Microsoft Outlook 2003 or higher in read-only mode. This uses what is called the WebDAV protocol, and can be initiated through the your webmail interface by clicking on the Collaborate button on the main tool bar and selecting any calendar from the left tree view. Within the calendar you will see the Add to Outlook icon on the action bar. Selecting this icon will invoke an intuitive process to attach that calendar in read-only format. The same steps can be repeated in a similar process for contacts.
For messages, users should setup an account within Microsoft Outlook using either IMAP or POP3. IMAP is a newer protocol and keeps all messages and folders on the server. By using IMAP, you are able to log in to webmail from anywhere and have access to the same messages and folders. Likewise, other mobile applications would be able to access the same messages.
